Version1.0

PurposeGuide you through escalation options after an appeal denial

Overview

Getting a denial is discouraging, but for legitimate businesses, it's often not the end of the road. This SOP guides you through the escalation process with stronger evidence and alternative channels.

Important

Do NOT simply resubmit the same appeal with the same information. Each escalation requires new, stronger evidence.

Escalation Path Flow

Step-by-Step Procedure

Step 1: Analyze the Denial

When you receive a denial email:

  1. Read carefully for any specific clues
  2. Note the Case ID (you'll need this for escalation)
  3. Don't react emotionally - focus on next steps
Email ClueLikely Meaning
"Additional documentation needed"Evidence wasn't strong enough
"Policy violation"Issue still exists on profile
"Unable to verify"NAP mismatch or missing proof
Generic/vague responseRequires deeper investigation

Step 2: Re-Audit Your Profile

Before escalating, do another thorough audit:

Fresh Eyes

Ask a colleague or trusted professional to review your profile. They may catch issues you've overlooked.

Re-Audit Checklist:

  • [ ] Is business name EXACTLY legal name (no keywords)?
  • [ ] Does address match documents character-by-character?
  • [ ] Are hours accurate and matching website?
  • [ ] Any recent "user suggested edits" applied?
  • [ ] All photos genuine (no stock images)?
  • [ ] All user access verified and cleaned?

Step 3: Gather NEW, Stronger Evidence

Your escalation MUST include evidence you didn't submit before:

Priority New Evidence:

DocumentWhy It Helps
Video Walkthrough (60-90 sec)Undeniable proof of physical presence
Lease AgreementProves right to be at address
Additional Business InvoicesShows ongoing operation
Better Signage PhotosClearer proof of location
Professional Equipment PhotosProves legitimate trade operation

Video Walkthrough Script

Start your video by stating:

"This is [Business Name] located at [Full Street Address, City, State, ZIP]"

Video Must Show:

  1. Street sign with street name visible
  2. Building exterior with address numbers
  3. Business entrance/door
  4. Interior workspace
  5. Relevant equipment or inventory
  6. Any permanent signage

Step 4: Submit Additional Review Form

Do Not Use Regular Appeals Tool

For a second appeal after denial, use the specific "Request Additional Review" form, NOT the standard appeals tool.

Second Appeal Message Template

Case ID: [Your Case ID]

To the Google Business Profile Team,

My initial appeal for [Business Name] was denied on [date].
I have taken additional steps to verify our compliance and
am submitting stronger evidence.

Since my first appeal, I have:
1. [New action taken - e.g., "Created a video walkthrough
   of our business location"]
2. [Additional verification - e.g., "Obtained signed lease
agreement showing our right to this address"]
3. [Any other new evidence gathered]

NEW EVIDENCE ATTACHED:
- Video walkthrough showing business location and operations
- Signed commercial lease agreement
- [Other new documents]

All previously submitted documents remain valid. I have
verified that our profile is in full compliance with
Google's guidelines and respectfully request a second review.

Thank you for your consideration.

Step 5: Wait for Second Review

Timeline: Same as first appeal (1-4+ weeks)

While Waiting:

  • Do NOT submit additional appeals
  • Do NOT make profile changes
  • Monitor email including spam folder
  • Check Appeals Tool for status updates

Step 6: Escalate to GBP Help Community (Last Resort)

If your second appeal is also denied, you have one final option: the official Google Business Profile Help Community.

Tips for Community Success

Be Professional

  • No emotional language or complaints

  • Present facts only
  • Be patient - PEs are volunteers

Response Time

Community escalation can take additional weeks. There is no guarantee a PE will take your case. Only clearly meritorious cases get escalated.
